How to Get QR Labels onto Your Costumes and Props
By the Theatre4u team · September 23, 2026 · 6 min read
In Theatre4u, every item you catalog gets its own permanent QR code, a small square that opens straight to that one piece. The natural next question is how to get that code onto the actual costume or prop so anyone can scan it. You have two good paths, and the right one depends on the item and how many labels you need. Here is a plain walkthrough so you can choose with confidence.
First, what the QR code is
Each item in your inventory carries a unique code that links to that item and nothing else. It never gets renumbered when you add more pieces later, so a label you make today keeps working for the life of the costume. That one fact shapes everything below: you can label in batches, add more later, and reprint a single lost label whenever you need to, without anything overlapping.
Path 1: print your own labels
The fastest way to start, and the best fit for props, bins, shelves, and hard goods. Theatre4u's Labels page gets your items' QR codes ready to print two ways: a plain-paper sheet layout for adhesive label stock, and a data export for a roll label printer.
- Good for storage bins, shelves, set pieces, and props, which live on hard surfaces where an adhesive label sits happily.
- What you need is either adhesive label sheets and any office printer, or an inexpensive roll label printer if you want to print on demand.
- The trade-off is that paper and standard adhesive labels are not made for fabric or the laundry, so they are not the best choice for costumes you wash.
Path 2: order pre-printed labels from a vendor
The better fit for costumes, and a nice option when you would rather not print at all. You export a CSV of your inventory from Theatre4u, each row carrying that item's unique QR link, and a label vendor prints labels that already hold your codes. Every piece arrives ready to iron in or stick on and scan. Because it is variable data, every label in the run is different, which is exactly how our codes work.
Two materials cover almost everything:
- Iron-on fabric labels for costumes, since they are made to survive laundering.
- Durable adhesive labels for props, bins, shelves, and hard goods.
Vendors we have looked into
These are two suppliers that can print your Theatre4u codes from the CSV export. We are sharing what each one offers so you can compare and decide what fits your shop; both can do the job, and the right choice usually comes down to your item mix and how many labels you order at a time.
- We Print Barcodes does variable-data printing, a unique QR on every label from your data file, and offers both iron-on labels for soft goods and extreme-durability adhesive labels for hard goods. Their labels are verified to scan, pricing scales with quantity with no large minimum, and we have arranged program-friendly pricing for Theatre4u programs. It is a fit if you want one supplier for both costumes and props, including smaller runs.
- Unitherm offers an iron-on clothing label system and can print your unique QR codes from the CSV. Their pricing is a flat rate per batch for quantities up to a couple thousand labels, which is most economical when you order a large batch at once, and they also sell a heat-seal press for applying labels in house. It is a fit if you are labeling a large costume collection in one go.
Not sure which to try? Ask both for a sample and a quote at your quantity, and wash-test the iron-on samples on a scrap garment before you commit. We are glad to help you export the exact CSV and get you set up with either one.
How to choose
- Match the label to the item. Iron-on for costumes that get washed, adhesive for props, bins, and shelves.
- Batch to save. Per-label cost drops as quantity rises, so a larger single run is usually cheaper per piece than several tiny ones. A district or a few programs can even combine a run.
- Do not over-buy a machine. If pre-printed labels cover your costumes, you may only need a small label printer for the occasional prop or bin, if that.
- Reprints are easy. Since each QR is permanent, a lost or damaged label can be reprinted for that exact item from Theatre4u anytime, so you are never stuck.
Where Theatre4u fits
Whichever path you pick, Theatre4u is the part that assigns and keeps the codes:
- Every item gets a permanent QR code and label ID the moment you add it.
- The Labels page prints your own labels for bins, shelves, and props.
- The CSV export hands any variable-data vendor a clean file with each item's QR link, so pre-printed labels are straightforward.
- Scanning is built in, so once labels are on, anyone can scan a piece with a phone and see it in seconds.

Frequently asked questions
Do I need a special printer to make QR labels?
No. For bins, shelves, and props you can print your own QR labels on a basic label printer or on adhesive sheets from any office printer, and Theatre4u exports the codes ready to print. For costumes that get laundered, most programs order pre-printed iron-on labels from a label vendor instead. You do not have to buy any specific machine to get started.
What kind of label works best on costumes?
For garments that go through the wash, an iron-on fabric label holds up far better than a paper sticker. For props, storage bins, shelves, and hard goods, a durable adhesive label is the simpler choice. Many shops use both.
Can I order labels for just my newly added items later?
Yes. Each item's QR code is a permanent link to that one item, so nothing gets renumbered when you add more. You can do a first run now, keep cataloging, and later export only the items you have added since your last order.
Will my Theatre4u QR codes work with any label vendor?
Yes. You export a CSV of your items, each row carrying that item's unique QR link, and any vendor that does variable-data printing can turn it into labels. Your codes are not tied to a single supplier.
